About Acctivate Inventory Management
A real-time inventory management and high-volume order fulfillment add-on solution for growth-focused businesses using QuickBooks.
The setup and learning curve were very reasonable, daily use and upkeep is easy.
It is also difficult when you want to edit a product when you make a mistake you will need to close the program and opend it all the way again because it does not let you continue with your work.

It allows for flexible configuration of fields, reports, and workflows to adapt to different industries and workflows.
Complexity: Some users have found Acctivate to have a steeper learning curve, especially for those who are new to inventory management software. The extensive features and functionalities may require some time and training to fully grasp and utilize effectively.Limited Mobile Access: Acctivate's mobile app or mobile access options may be limited compared to some other inventory management solutions. This can be a drawback for businesses that require remote access or mobile functionality for inventory management tasks.Integration Challenges: While Acctivate integrates well with QuickBooks, some users have reported challenges or difficulties in integrating with other software systems or third-party applications they use, which may require additional customization or development work.
Comments: We have been using it for 6 years now. There was a bit of a learning curve. Once sorted out, we can order receive, pick and sell our product with ease. Database size has been a bit of an issue and Intuit file size management grows quickly. Great product for a mid size business.
Acctivate brought us up to todays technology in product Inventory and sales control, at a reasonable price.
The lack of Vendor control, and Vendor Options make things hard. Doing a Daily Sync with Quickbooks does not come with out issues, and tax rounding is Canada is a large issue. We do have SOP's in place to administrate these short falls.
Alternatives Considered: Sage Intacct and NetSuite
Reasons for Choosing Acctivate Inventory Management: It was a slow custom developed product with no support.
Reasons for Switching to Acctivate Inventory Management: Price, not needing to upgrade our server, ease of use.
Can't function with Acctivate
We bought Fishbowl inventory in 2017 and returned it within a month. And then spent considerable time looking at options and reviewing them. We spend days and days with Acctivate before buying. And then we bought it. It took three or four months to get us to an 'active state'. At which point we discovered that the entire way we setup our product structure would not work. So we started over and now, 12 months after purchasing, we have finally invoiced the projects from November of 2017.
We have posted over 100 requests in the online help system and with a few exceptions been told that our ideas are not applicable to their users.
We have made the decision to not to renew our maintenance plan.
And Acctivate was not interested in extending our plan for a few more months give the total disaster we have had implementing it.
We did consider it affordable and the yearly maintenance costs reasonable given the platform.
However, we have spent lot of money on labor to get the system implemented AND still had to hire an outside consultant to build custom routines to be able to get reports that answer basic stocking questions. We continue to find the interface prevents you from being able to make smart decisions at the moment you have to (when you can see the data) and is wholly lacking for a system with as much data as it has. We can not say strongly enough that you should really consider your options before moving forward with Acctivate.
Lot's of handholding during setup. Possibly considered affordable - unless you count your time. At this point - not much - We have fought for a year to get the system online.
Lack of respect for the ideas and needs of customers It hides important information needed to make decisions in the windows where you need to make decisions. It doesn't auto update backorders A huge list of other items.
Acctivate Inventory Management works well suits our needs
Comments: Very please with our choice
The setup and learning curve were very reasonable, daily use and upkeep is easy
The dashboard needs to be more user friendly to setup and use (sizing and placing the report boxes is awkward) Some dropdown menus are not intuitive, but once learned easy to navigate
Alternatives Considered: Fishbowl and NetSuite
Reasons for Switching to Acctivate Inventory Management: the setup and prep where much easier compared to the other two products
Excellent for the Price!
Comments: We were able to greatly improve visibility of our performance allowing us to focus resources in the areas that needed help. The quality and consistency of our output also improve dramatically. Probably the one area that had the most drastic improvement has been our warehouse. The ACCTivate our inventory is the most accurate it has ever been and order processing accuracy has also improve dramatically with the use of the mobile scanners.
Software is filled with many intuitive features that cover a wide variety of of business uses in everything from order processing to inventory management. Inventory management includes ability to manage using bins and multiple physical or virtual warehouses. This is a strong feature for an application in this price range. The ability to create custom fields in virtually every section of the software helps resolve many challenges, and the fields are, in most cases, can be made to appear in reports. Has a great order management module that can be customized for specific views and allow for both visibility and batch management of open sales order. Mobile/handheld support allowed our warehouse to switch from manual to scanned picking, which greatly improved accuracy and accountability. Software supports ODBC connectivity which provide a solid work around for the software's lack of strong out-of-the-box reports (see below) In conclusion, if you are a small to mid-size business that has outgrown Quickbooks, you really cant go wrong with ACCTivate. So long as your Quickbooks data is clean and organized, migration is quick and painless.
Out of the box reporting is a bit limited depending on your needs. Very basic reports are fine and they are accurate, but if your business has complex or custom logics by which you evaluate performance, you will need to hire a report writer (Crystal Reports) to build your report templates. No real audit trail tracking/reporting so seeing who did what can be a challenge. Lacks ability to restrict certain permissions that can lead to accidental or deliberate manipulation of data resulting in order processing errors.

Gabriel, your feedback is greatly appreciated. We are happy to hear about the improvements across your business after implementing Acctivate, especially the visibility & productivity gains that have allowed you all to focus on the work at hand. We also continually strive to learn what businesses need and how we can enhance our software, so it is also good to know about reporting and permission based needs. - Dakota
Adequate, But Far From What It Could Be
Comments: Acctivate is a reasonably decent inventory management and customer service package. Expect to make significant investments in custom reporting and form layout in order to make the program work best for your company.
Inventory tracking features are pretty solid.
The reporting features in Acctivate leave a lot to be desired. We have had to spend a great deal in custom report programming to get information that is useful and thorough. It is obvious that the people who wrote this software do not use it daily in a real world situation. Many features are far from intuitive, and the program can be quite buggy. Alterity has also been unresponsive to suggestions that would greatly improve efficiency such as the ability to sort sales orders in SKU order, and the ability to import purchase orders.
Very Reliable and Easy To Use
Acctivate is perfect for QuickBooks users that need a better inventory and sales order process. It is a bolt on product. You just "sync" it whenever you want to have QB and Acctivate talk to each other. It makes managing inventory really easy- and gives you a ton of room and vendor history so you can manage your costs. It also makes price updates really easy. Initial integration is easy- all of the details are handled by Acctivate thru remote sign in on your first day. I suggest to have an IT person in house just to handle the small details- so you can concentrate on your business. I decided to go with Acctivate 5 years ago and have been Extremely Happy with this product. It is easy to use and is based on Crystal Reports - which means that you can get just about any report made - so you can get the specific dash boards you want or reports you want. Your employees will like using this product as well. My employees were using this by 10AM the morning we installed it. Once you have this product 90% of the time you will be operating out of Acctivate. You only use QB for the Book Keeping for the most part. Inventory control and unique inventory situations are easily handled by Acctivate. Overseas shipments or Lead Time Inventory is not a problem- Acctivate has a solution for this. Your Pack Slip, Sales Orders and Invoices will look a lot better with this product. If this product doesn't pay for itself in 1 year or less- I would be very surprised. Excellent Product.
I dont have any complaints. After an initial set up- i do suggest using a 3rd party for special reports. But you dont have to do this. Activate can help you if you want work with them. I just like having a 3rd party vendor - but i make a ton of reports. Acctivate comes with enough reports to run your business.
Acctivate Inventory Software preforms well
Comments: Our inventory is able to be managed in a timely manner. Accurate inventory is key to our business.
It is easy to process orders and maintain inventory.
There are many helpful reports. However, I would like the ability to run my own queries to customize the information I need.

Excellent Software for a small company
Comments: We started using ACCTivate in 2010 as an inventory add-on to Quickbooks. We have very much appreciated all the software had to offer. We have modified the system somewhat over time to fit our needs. We also had some custom reports created for us that have worked very well. Very pleased with the software and the support team.
-Very intuitive product -Easy to learn -Highly functional -Crystal report software for reporting is easy to learn and use to customize your reports -Very flexible system
-Original Reporting is lacking. Custom reports are available or can be made by a third party -Very occasional issues syncing with Quickbooks

Hi Ruth, Thank you for sharing your feedback. It is great to hear all you have gained and the growth in your nine years of using Acctivate. Kind Regards, Erica Avila
Inventory is easy with Acctivate
Comments: We were in need of an inventory software that could integrate with QuickBooks and provide a platform for our manufacturing crew to run out of. Acctivate met this need.
I love that it easily integrates with QuickBooks Enterprise. It has a lot of options that are great for manufacturers. Their on-boarding team is phenomenal; I bugged them so much and yet they always seemed so happy to hear from me!
It is expensive...BUT it's cheaper than most of it's competitors and from what I've seen, it's a better software than it's competitors. In my opinion, you get what you pay for; a great inventory software that easily integrates with QuickBooks.

Thank you for sharing your feedback. We are happy to hear that things are going great from the ease of use to the integration with QuickBooks and service from our onboarding team. - Erica
Acctivate Inventory Software
Comments: I think Acctivate has a lot of software updating they need to do to make this software a great use for inventory tracking.
Pros to Acctivate would be the ease of receiving inventory products and tracking where inventory items are in the process of manufacturing.
Con's to Acctivate would be it's posting and editing capabilities. Once you decide to post something in Acctivate you cannot go back and edit that post. Also if you use unearned revenue and pay a deposit on a invoice you cannot go back and edit notes on the invoice. I think this particular software is still behind in the technology world and it could be a very useful software once they work out the kinks.

For the most part acctivate is user friendly.
It is simple to use, easy to find items and customer accounts. Updating customer information is really easy to do.
Has some internal errors that happen often. Will freeze up and have to restart the program a few times a day.

Acctivate vs. QuickBooks Enterprise (with AI) - easy decision
Acctivate goes far beyond QuickBooks Enterprise, even with Advanced Inventory. It brings preferences down to the customer and item level that are only available in QBES at a global level. It has CRM, customer service, bar coding, multiple warehouses, serial and lot number tracking, location and bin tracking, cost methods (LIFO, FIFO or Average Cost) at the item level, multiple units of measure at the item level and much, much more. For manufacturers and distributors with complex inventory management or compliance requirements, Acctivate can relieve all the pain points that you currently encounter with QuickBooks.
Can't think of anything. Terrific sales and support teams.
Acctivate User for Five Years - Love it
I love the drill-down capabilities, the search options, copy functions, the wizards, reports, etc. So much that I enjoy. Great system!!
There is no vendor box in Acctivate, like how there is a customer box. We are limited to the vendor info we can pull up unless we have Quickbooks on our computer, and not everyone has QB in our dept. Really wish they would incorporate that into the Acctivate program.
Not for my shop
Comments: This product has a low learning curve and easy to set up and use. It may be good for some businesses but it is not worth the money for ours. It works great for tracking inventory and bringing completed goods into our system and tracking them through to a sale. This is where it breaks down. We are a small business and do a lot of custom goods and small run manufacturing. There's not a lot to offer for the manufacturing side of our business. For a small shop, most of the functionality of this software can be done in Quickbooks. This product still requires quickbooks for accounting as well. The yearly maintenance fee, hard to swallow for what it does for our buisness.
Easy to use and update
Many glitches and bugs Little help with manufacturing
Easy to use, great help from activate for setup, all customer records are transparent, well organized, so does the inventory.
reports are always a struggle, using crystal report need some training. We have hard time to get the reports we need. Activate people are great, very helpful and personal.
ACCTivate! Easy, Powerful, Very Reasonably Priced
The system is robust and always improving. The value for the price is unmatched
There is really nothing that I don't like about ACCTivate!
Overall good software
Reports are optimized to run quickly with large database.
Limited ability to add detailed cost information to a product. Would like to have better CRM functions. Very poor support communications.
No need papers!
I noticed this software is awesome in keeping records, also in inventory management and keep any transaction that will help you and the company. I like it so much.
It tends to crash if you are not updated in new version.
Great inventory system, difficult to understand the concepts of use.
-Pro-Great inventory system. Great reports. Has been an added bonus to our organization for the last 7 years, I believe.
-Cons-There are some changes I would like, and have requested concerning how inventory is tracked. Returned items awaiting credits.
Customer service is slow to respond when there are issues. It usually takes 2 requests and a phone call.
I feel the new version is very bulky. We have had to retrain employees :(
I am however, very pleased overall.
Acctivate Inventory Management
Comments: It is a smart quickbook for our inventory operations and management.
The ease of use. it is flexible and highly scalable
More features could be added to it It requires skilled training to operate
It is easily self taught and reasonably priced for small businesses using quickbooks.
Pros - user friendly, easy to get processes created, handles inventory with transparency.
Cons - implementation needs more clarity from Alterity, more prep should be discussed. After getting thru the fact that we did not prep correctly, we straightened that out and get back on top of all the details needing to be addressed it is a well oiled working software. The benefits from using ACCTivate now, out weigh any hurdles you may incur.
Comments: Acctivate is a great program for our manufacturing company. It is very easy to use. It allows us to track product in a very easy way. It synchronizes with QuickBooks very easily also. The only problem we have had in the past eight years is that every time there is a upgrade, the crystal report templates get screwed up. They don't seem to transfer well. One time we lost all our custom templates and had to have them remade.
Long Time User
Comments: We've been using Acctivate for many years with our company and have been very happy with it. I appreciate the ability to build just the right set of modules for what we need and particularly like its ability to handle our complicated inventory system. The few times we come across issues, the support team is very quick to respond and resolve them. I would highly recommend Acctivate to other users.
Great software with tons of options, capacity and adaptability
It is appropriately scaled for a small/medium business, both in complexity and price. It allows for the challenges of both manufacturing and selling of non-manufactured products and purchasing/warehousing and selling in different related units.
I wish it had one extra field for an option on products so that color variations or grind type (we're a coffee business), didn't have to be a separate product code. Using custom fields for this works until trying to link to a website for import, and then those fields are inaccessible.
