FreshBooks: An easy-to-use accounting solution with some limitations

Comments: My time spent with FreshBooks has been quite satisfying. While this program has been great for me in terms of keeping track of spending and sending out invoices, it may not be well suited for larger businesses with more intricate accounting needs.

Pros:

Being a current FreshBooks user, I can attest to the software's efficacy as a means to monitor spending and issue invoices to customers. For me, having the option to connect with other services like PayPal and Stripe has been a huge time saver, and the interface is really intuitive.

Cons:

But I've also found that FreshBooks lacks some of the more sophisticated capabilities I need to run my firm. It's perfect for my simple bookkeeping needs, but it might not be the greatest choice for a bigger business with more intricate bookkeeping needs.

Invoice and expense tracking automation

Comments: The features that make FreshBooks such a superb invoicing and accounting application for small businesses may not be sufficient for larger enterprises. Not all small businesses can afford FreshBooks because it is more expensive than some comparable solutions.

Pros:

Because of FreshBooks' intuitive design, keeping track of business money and other administrative tasks is a breeze. Save time and work more efficiently with FreshBooks' convenient time-saving tools, such recurring invoices and cost monitoring.

Cons:

FreshBooks's user-friendly interface is a major selling point for me as a financial manager. We've found great use in the time-saving tools, such automatic invoicing and expense tracking. Nonetheless, I have found a few shortcomings, such as a lack of robust reporting tools and a dearth of available integrations. Despite these concerns, FreshBooks has been a great help to me.

Comments: Fresh books was recommended by a friend that utilizes it for her drop shipping business. She recommended it due to pricing, great for a small set up however, if u have one or more employees or accounts payable or receivables then don't bother it was a disappointment

What I liked most was pricing and ease of initial set up

Cons:

What was least favored with this software was the amount of double to triple entry of data and ledgering had to be checked and rechecked due to inaccurate totaling and the taxes aren't even close to kept accurate here.

Great fit for any business with flexible plans

FreshBooks is the best!

Comments: As a freelancer, one of my clients recommended FreshBooks to me. Since then, I have adored it. What you get for free is amazing! They would have greatly impacted the way I managed previous projects if I had known about them. Their customer support is helpful and cordial. I heartily suggest them.

Pros:

My clients now pay me on time because of Freshbooks. Previously, I sent invoices to clients by email and normal mail in the form of PDFs, but the problem was that they didn't always pay. Because you just throw the invoice in the trash and try to remember to pay it when you can, I'm also guilty of this. However, with Freshbooks, I probably get 10–20% of clients to actually pay on time because there is a quick online option of paying with a credit card right there and then when the invoice is sent. Using credit cards obviously results in a 1-3% loss, but gaining speedier payments is more significant than that amount.

Cons:

Can have issues linking to a credit union account if that is what you use for your business. Might want to consider switching to a bank that is better accepted.

Comments: The original version of FreshBooks, which we started using in 2014, was great for time tracking and invoicing. Unfortunately, they decided to build a completely new web application to add accounting features. We migrated to the new version about two years ago, and it did not go well. The new version didn't add many useful features, and the time tracking app got worse (see above). We decided to try the accounting feature this year (2019) because Xero started getting more expensive and lost its payroll feature. We have found the FreshBooks accounting features to be barely usable, and we're struggling to find an accountant that will support FreshBooks.

Pros:

FreshBooks is good for freelancers or service-based small businesses that need to track time spend on client projects, and report the time on invoices. It's also good for tracking basic expenses, whether they are allocated to the business, or passed on to clients. The reporting features are also useful. The payroll integration with Gusto is a simple and affordable way to run payroll for a small business.

Cons:

The mobile app for time tracking became so buggy that I had to stop using it; it would frequently lose track of the time if I paused the timer. They also added a "feature" that creates a new line item on the invoice every time you pause the timer, which really clutters up the invoice. I now use a separate tracking app and manually enter my time. The accounting features are barely adequate, and the accounting functionality is more like a public beta than production software. There's a chart of accounts, bank reconciliation, and a general ledger. We use cash-basis accounting, so it works for us, but if you carry inventory, I don't think FreshBooks will support accrual accounting. The bank reconciliation was officially "beta" until very recently. Admins aren't allowed to edit the chart of accounts, so you need to have an accountant or bookkeeper set it up. Unfortunately, most accountants I've talked to won't work with FreshBooks directly. Strangely, FreshBooks will help you find a bookkeeper who works with FreshBooks, but not an accountant.

So much better than Quickbooks

Comments: I started with Freshbooks back in 2011, a colleague recommended I switch to Quickbooks, which I did. It only lasted a year before I went back to Freshbooks. Even though it was a pain to switch, it was worth it because when I have a problem with Freshbooks, I just send an email to [email protected] and they answer me the same day, usually. With Quickbooks, it was too hard to get support. It's not a double entry bookkeeping program, so if you need that, it's not for you. But for basic invoicing (including automatic recurring on any timeframe), time tracking, expense tracking, and reporting, it's perfect.

Pros:

Easy to use, interface. Excellent customer support.

Cons:

There is a chrome extension for tracking time, in addition to within the app. The chrome extension was recently updated and is now not working properly. When you type the project name in it doesn't auto search, you have to scroll them all of them (and I have a lot) to select it now. They will fix it, i'm sure. Sometimes have trouble with expense syncing, and would like more features to make that faster and easier to categorize.

Freshbooks is the ultimate for a service-based business

Comments: It was a good onboarding experience. I didn't call support and had us rolling in about 2 hours. The things I miss from Quickbooks aren't here, but they are continuing to build out the system. Hopefully we can get some of those critical features sooner than later.

Pros:

I used to love Quickbooks. It had an app, it had time tracking. Then everything I loved was taken away. Freshbooks is the choice we made because it was built for a small service-based business. Recurring billing, time tracking, payment processing, it's all built in and easy to use. It took me 2 hours to get setup completely and it was a great experience. It's great for an owner who needs to be able to just run their business.

Cons:

This is a major miss on the accounting side of the house. If you came from Quickbooks, you know how important double-entry accounting is, in depth reporting with punchouts, a quick dashboard into profitability. This isn't the case with Freshbooks. You will need an accountant to help at the end of the year. Ours had to rebuild our system because it doesn't believe in a cash-based accounting system.

Great Invoicing Tool for Time Tracking

Comments: Freshbooks does manage the following VERY well: Time tracking against projects and clients; invoice creation based on tracked time; and one-off invoices or flat rate pricing. I also like the clean and easy to navigate interface.Generating and reading historical reports is quick and easy to determine things like, how quickly specific clients are paying (and who is historically slower at paying), income by client and income by project/work type.The phone app is functional for my needs, although it's a little clunky and not nearly as full featured as the desktop software. It's not bad, but not great. I have successfully tracked time on the app, then issued an invoice from my phone to my client's email inbox.Overall, Freshbook fulfills my needs as a consultant.

Pros:

I really like Freshbooks for it's easy invoicing and time tracking. I was able to integrate it with Teamwork project management software so that more complex jobs that require detailed time tracking against tasks and milestones could be tracked there and then my time could be exported to Freshbooks. Freshbooks also integrated with my Paypal gateway, allowing me to accept major credit cards.

Cons:

Freshbooks collaboration with other contractors doesn't work very well. In addition, the per-client pricing has gotten pricey for those of us who have many one-off clients.The retainer payments feature was not easy to use.

Comments: I have been using FreshBooks for over 2-years and am currently using it. I used FreshBooks a long time ago when they were new and more minimal. It has been great to see them grow up. The cost is a bit steep so I may not continue to use them -- I'm 50/50 at the moment. If they provided more value for the cost I would consider it a good investment, but paying for a CRM on top of that is expensive. Overall I do love the software!

Pros:

I love the clean and friendly UX of FreshBooks! It is a pretty efficient piece of software that helps me get paid quickly and easily. I feel it has grown up so much over the years too. Invoicing is super easy and tracking expenses. Those are my primary base needs to run my business.

Cons:

I do wish that entering client information was a bit more intuitive as I feel like I'm doing input for a client into my contacts, importing it to my CRM, and then hand inputting into FreshBooks again feels redundant. I would really really really love to see a Mac App to complete the mobility and desktop experience. I dislike having to open a web page to manage things on a daily basis.

Comments: FreshBooks is truly a joy to use. It helps keep my estimation and billing running smoothly, and makes it easy to process payments, and gives a lot of options to allow my clients to pay me in the way that works best for them. I love that you can track invoices from the moment you send them, and you can see when the client has viewed them, and even message the client right in the invoicing portal. I had used Quickbooks for years at another job I had, and also used it from time to time with my own businesses, but I was never happy with it. It was always clunky, slow, and glitchy, and was kind of on the basic side with it's features, or you had to pay another fee to add more features. I found FreshBooks through an ad, and gave their free trial a shot, and I was hooked from the start. the software is so responsive and easy to use, I don't believe I've ever had any kind of glitches or crashes while using it. The mobile app integrates perfectly with it, and keeps all the things I need on a regular basis at my finger tips. Any issues I've ever had, they support team was quick and efficient in helping me an answering my questions. Overall, FreshBooks is a wonderful company, and they make wonderful software that I thoroughly enjoy using.

Pros:

I love how intuitive and easy it is to use. The invoicing, payment processing, and overall accounts receivable functions are so simple, yet powerful and allow me to accomplish everything I need to in that area. The support staff is wonderful and extremely responsive, and it just helps my one man operation run smoothly when it comes to the accounting.

Cons:

So far I haven't found anything about the software that I don't like.

Comments: Freshbooks has a cleaner and more user friendly interface than any accounting software that I’ve used. My CPA complains that the back end is not as robust as Quickbooks, but other than that, it’s the best for creatives in my opinion

I love the ability to create proposals with pictures and a client signature line. Also, the app is pretty great.

Cons:

I’d like to be able to add pictures through the app, but it’s never worked. The back end for taxes and reconciling found be better according to my cpa

Best Project Management for Small Business

Comments: If you ask me for a rating, I would give 8 out of 10. With a huge amount of features like invoicing, Client Portal, Contact Management, Expense Tracking, Project Management make your business easy to manage. For people who are trying to start a new business, I would recommend the FreshBooks at first.

Pros:

FreshBooks is very easy to use and has so many features that help you manage your business in a short time. They have excellent customer services. The most fascinating thing about FreshBooks is it has also mobile app and the UI design is so eye-catching. They create attractive invoices for clients. Another coolest feature of FreshBooks is "Proposal". This feature allows you to show the work and writing space and attach your customize pictures.

Cons:

Although you can hardly find cons in FreshBooks. But sometimes something grabs notice. I think the least likable thing about FreshBooks is limiting users. Only one user can use FreshBooks. And the other one is the price. I think as a small business management tool, it is a little expensive than others.

Terrible interface, bad data security practices and dishonest customer support

Comments: The last year has been horrible, absolutely horrible. This is a dishonest company in my opinion, but the biggest thing was last night after a week or more of begging to have access to my data after the subscription ended Zac, a support specialist decides at 7pm without me asking to access my data, download it to his computer and emailed all the documents to me over an insecure interface. I called and talked with customer service and was promised a call from management before the end of the day to discuss and that never happened. I told the woman I spoke with today that I didn't trust someone would call me back and she promised and of course, no one did. Then when I call back at EOD my phone number is blocked and all I get is an email saying essentially it was a mistake and we all make them and it's not their normal way of handling this, basically, an oops sorry. They clearly have no care for client data security and their security practices seem to be so cavalier from this experience they should never handle anyone's data. Their customer service didn't hesitate to flat out lie to me or management turned them into liars whichever it is. Please don't support this company.

Pros:

The old interface and the previous CEO management. Customer for 10 years, leaving because it's horrible now and customer service is broken and data security issues.

Cons:

Their old software was good, and then they forced everyone to a less-featured new version that lacked functionality and jacked the price significantly. They say they always listen and take feedback from customers but in practice, I never saw any action from the feedback, its like a black hole from my experience. Their new version lacks features and is very clunky compared to the old one. After a year of having issues with the new version, I chose not to renew. I called to tell them I wished to cancel and please delete my credit card data. They refused to delete my credit card data and suggested I may get charged again. In 2011 their policy was that you would always have access to your data through the website regardless of having a paid account. Now they don't do that and have lied about their past policies to me. In 2011 you could have a free account with only one client and would always have access to your data that was what the sales pitch was, they said you would always have access to it. They were the first game in cloud accounting, so this was important. In 2016 when I switched to a new account because of a change in structure I still had access to my old account despite not paying for it after it expired for 3+ years. Now they are so horrible and so anti-customer that the day your subscription runs out they turn it off and block you from it. They are so greedy for money they run customers away. There are much better software and customer service for accounting software

Comments: Great for invoicing and timekeeping, but bookkeeping function requires a course in accounting or more in-depth training that I just didn't have time for.

Pros:

As an attorney in solo practice, the timekeeping function is great. I can use my app or use the computer easily, and it tracks my time in a neat report for clients beautifully. I also find invoicing clients very simple, although I've found some difficulties with customization when it comes to my clients on retainer. Otherwise I've been very pleased.

Cons:

I had a very difficult time using the bookkeeping software on the program. I couldn't customize taxes, and I found that because I have no background in accounting I was really messing up frequently. I ended up outsourcing bookkeeping to Bench, which has worked out fine but it's only been a couple of months. the difficulty using Freshbooks for bookkeeping made tax time very difficult and stressful because I had to completely redo what I had entered in the program.

Like it But Lacking Decent Timer

Comments: This is a review of Freshbooks Classic. They have just come out with a new version that I am not using due to a lack of addins at this early stage. I use Freshbooks to invoice my customers for the time and materials I spend on their products. I have recurring invoices that automatically bill my customers on the first of the month for their monthly recurring services and any labor I may have spent on their project for for support. Freshbooks definitely makes the invoicing process simple and easy. I don't have to worry about manually creating invoices each month. A big time saver. It also provides several different ways for the customer to pay their invoice including credit card and PayPal (PayPal is not an option in the new version of Freshbooks). But Freshbooks doesn't make the time tracking simple. Since most of my charges are based off time spent working on customer products, I need a powerful Timer tool. Freshbooks does not supply that tool. They have a very rudimentary tool that is browser based. You click start, select your Project and Task, then press stop when completed. Life isn't that simple. I may be working for one client when another calls on the phone. I would have to stop the existing timer, select a new project/task, start the timer again, then after stopping it, go through the whole process again to go back my original task. Awful. Instead I had to purchase a desktop based tool called Chronomate that is so much more powerful. It even knows when I've stepped away from desk and forgot to stop the timer. It also uploads to Freshbooks so I don't have to manage anything. Bliss. Of course the developer isn't maintaining it anymore so it doesn't work with the new version of Freshbooks. Crud. Because of the lack of a decent time tracking tool I won't be updating to the new version of Freshbooks anytime soon.

Pros:

Very easy to invoice.

Cons:

Time tracking methods/tool are totally lacking.

Really like FreshBooks but there's room for improvement

Comments: Here's the skinny on FreshBooks (the good, the bad, and the ugly): The Good:
You can't beat the visual dashboard for tracking outstanding and past payments for clients. It's a great billing system for small businesses and especially consultants or freelancers. The recurring billing/invoicing system is FAB!
Like many platforms these days, Freshbooks showcases a library of "add-ons" to help enhance your experience. Some of the best ones (in my book, as a tech consultant and marketer) are Hubspot, Shopify, Mailchimp, Bidsketch, BaseCamp, and Podio. There's a decent time tracking feature, along with the ability to track expenses. You can create/assign staff to project billing. Of course, you can issue "estimates" to prospects for future projects. As you send invoices through the Freshbooks system, it will log "sent" emails for you. And the system is designed to handle manual invoices for snail mail as well. Each client/business that you bill receives their own "login" to your dashboard to view their invoice(s). This is a nice touch, as clients may often "misplace" that original email with your invoice in it... It integrates very nicely with Stripe and PayPal (although I hear that may be changing - what? I know) plus Freshbooks has its own payment feature. I never have issues with payments, they always come through the system promptly (for online playing, 24-48 hours, the norm). The Bad:
I'm not a fan of the reporting feature, while it's functional, it doesn't allow enough flexibility that a diverse consultant such as myself would like (need) to have. There are several reporting functions for each core feature (Accounting, Clients, Invoicing, and Time Tracking). But no option for custom reporting, which I often need as my diverse array of clientele has different process, set-ups, etc. At the very least, I would like to be able to customize the built-in reports on some level. I've not found an add-on that would assist me with this pain point.
The Ugly:
Finally, sadly, the worst thing I have to say about FreshBooks is that the Android app is greatly lacking. As the years (and technology) progress, that could eventually become a deal breaker. All the features in the world won't do a consultant much good if all of those same features can't be accessed via mobile device. We're ALL mobile these days, doncha know.
However, if you split your time between desktop/Mac and mobile, then Freshbooks is well worth a look!

Comments: Overall I cant fault the product and would definitely recommend it to any business owner. The only thing I wish was possible, is to pay in my local currency for budgeting purposes.

Pros:

I started using Freshbooks when I was given the opportunity to start a company in the wedding industry. At the time I had no idea what I was doing when it came to bookkeeping but FreshBooks made it easy to manage. What I loved about the software was the journey I followed, from Quotation to final invoice. The ability to send the quote/invoice with a simple click streamlined my business process. I eventually had to hand over when I couldn't handle the load, and because of the intuitive software, it was an simple handover. When I needed a report, i didn't have to wait for it to come from my bookkeeper, I just jumped online and got what I needed quickly and easily. Oh the cherry on the cake was the app. I used to showcase at trade-shows so the app allowed me to draw up an invoice and email the client without leaving the booth, or needing my laptop.

Cons:

The price point was a bit of a hard pill to swallow, especially in an economy where the $ is much stronger than my local currency. The fluxuating market made budgeting a nightmare, and when getting a start up off the ground, every cent counts. While I could work around that, the one thing I disliked was the fact that one could go back and edit invoices/quotes post creation. I have since learnt that this is a big no no, but at the time I was non the wiser. I unfortunately lost money due to this, as many cash sales invoices were edited, and the balance pocketed.

No Two-Factor Authentication - Very bad overall security

Comments: Freshbooks has been in business for years but does not have a basic Two-Factor Authentication feature to prevent hackers from gaining unauthorized access to customers' accounts. Not having this feature borders on negligence. This is a basic standard feature that other cloud accounting software XERO and Quickbooks have had for years. Not having two-factor authentication is alarmingly bad because tens of thousands of Freshbooks customers are trusting Freshbooks with a ton sensitive company data about their finances, customers, bank information, credit card processor information, and prospects etc into Freshbooks. If hackers get a password, they can easily access this valuable information because there is no two-factor authentication to stop them from getting in. Does Freshbooks take customer security seriously? Apparently not. I emailed them about this dangerous lack of basic security features and as of December 2019 Freshbooks says there is no plan to add two factor authentication in the future. Their answer as the same as it was when I wrote them in 2018 about this problem. Their answer was that they would pass this suggestion along to their programmers so they can give it future consideration.

Pros:

Ease of use and straightforward, simple interface. Easy invoicing.

Cons:

Freshbooks lacks all of these industry standard security features: No Two-Factor Authentication at login. No IP address blocking to prevent certain IP addresses from logging in my account. No log/audit showing when I last logged in and out of the account. No forced internet timeout/log out when the account has been left untouched for a while. This is standard on other online accounting software and is used by most banks as a security feature.

Super easy to use; I would love a few additions

Comments: Compared with the prior bookkeeping system I used, I've saved a lot of time with FreshBooks, in training (as noted above) and in actual entries. I can generate CSV/Excel sheets that allow me to do some customized reporting. My clients like the easy online payment process for credit card.

Pros:

A professional colleagues introduced me to FreshBooks about 4 years ago. Since then I've had four different part-time assistants (they leave for full-time work!) and each has mastered FBs in a few days, not weeks as was the case with a competing product that I used previously. It is very comprehensive and also customizable for tasks, clients, projects, and expense categories. It interfaces cleanly with a payment system, so that my clients who prefer to pay by credit card can do so with no hassles. I also like the APIs that pull expense info from my bank account transactions and business credit card charges.

Cons:

I am based in the US, so there are a few things I would like to help complete our tax returns more easily: 1) a way to track the actual miles driven on the expense side. I do it now in a note but it is cumbersome. 2) a way to track expenses associated with a project but not billable to that project. I do it now by setting up two project titles, but I can only link those manually (actually, offline completely). An example would be some of my assistant's time that I can't bill the client for but that I would like to track so I can better estimate future project expenses, because it fits into "cost of goods sold" (when the "good" is our service).
