Comments: I have experienced great moment hosting my colleagues with efficient online conversation. The secure network infrastructure enhances better collaboration free from cyber attacks.

Pros:

It is easy to organize online meeting and create group convention ID. This platform has reduced cost of arranging physical meeting and enhanced effective decision-making. It has automated reminders for reminding members on the actual meeting dates and venue.

Cons:

There has been positive transformation from traditional meeting presentation to digital paperless system.

Our Experience of Convene

Comments: We introduced Convene in June 2019. Users quickly became familiar with the software. The value of this investment really showed when we were forced into office closures with the onset of the Covid Pandemic in March 2020. Our business decision making was able to continue and function effectively due to the flexibility available through use of Convene.
The biggest benefits are: savings in paper and print costs, saving in time spent producing and circulating meeting packs, ease of access to document library and previous meeting packs.

Pros:

It was easy to implement and simple to learn how to use. We introduced Convene initially to improve the efficiency of non-executive Board & Committee meetings. Very soon after implementation the Governance team identified more areas for using the software and it is now used for multiple internal management & working group meetings / information sharing.

Cons:

Nothing really. If we have had any problems, the service team have been very helpful.

Alternatives Considered: Decision Time Meetings, BoardEffect and Simplify

Reasons for Switching to Convene: Affordability and Functionality were in line with our requirements

Benefits of Convene

Pros:

Convene's ability to create a seamless, integrated environment for virtual and in-person meetings.

Cons:

Convene's cost is relatively high compared to other event or meeting space providers.

Comments: Overall it has been a pleasure to use Convene as it makes managing board meetings etc, much easier

Pros:

The functionality provided for setting out agendas, meetings and collaboration is very good especially as we use this for board members who do not have a organisational email address. The administration of this is straight forward and keeps our systems uncompromised.

Cons:

Generally speaking the product is very good although the fact that you have to pay an extra fee for industry standard 2FA/MFA functionality is disconcerting.

Convene - Easy to use and good value

Comments: Convene saves having to make up paper board packs and is easier to distribute the papers with the click of a button and most importantly securely. I can also see who has downloaded their papers.

Pros:

There are some really good features such as review room which we now use instead of Sharepoint which was more difficult to use. Convene is intuitive and meeting packs can be created quickly without having to convert papers to pdfs as the system does it easily. We also have single sign-on so its easy to access.

Cons:

The only downside is it probably dosen't look as polished as some of the more expensive competition but it does the job and is much easier to use than some of the better known competition and there ares ome really good features and tools included

Reasons for Switching to Convene: Cost was the defining factor as we are a charity but also functionality which Convene has as well as ease of use.

Easy to understand and use

Comments: I very much appreciate how Azeus Convene went out of its way to help us in procuring their product. Government requirements are very tedious for a foreign company joining our bidding but they complied.
Their support was also very helpful by providing training and presentations during the product evaluation.

Pros:

The software is easy to use, secure and not as pricey as its competitors. The reduced time to prepare and send out folios to the intended recipients were major factors in deciding to use this software. We are also excited about the new features being introduced to improve the software. Price

Cons:

I would like the software to have OCR capabilities so that documents scanned and uploaded can be annotated.

Reasons for Switching to Convene: We are a government agency and must follow the procedures listed in our procurement law. Azeus Convene won the bidding based on their price and compliance to our requirements.

Transitioning to Digital Meetings with Convene has been helpful

Comments: Convene has helped us save a lot of time

Pros:

Organizing meetings has been easier with the Agenda Builder of Convene. Letting people review and sign off on important documents has also been more efficient with the help of Convene. The software is also easy to use, you just need spend a little time to familiarize and learn how to use it.

Cons:

We just have a hard time following updates, and I wish we can customize the survey.

What is good about Convene

Comments: Our experience of Convene is positive, it is a good Governance tool that supports everyone in Governance, has everything in one place. Enables us to share documents in an efficient manner and for those participants to comment on those in advance and during the meeting.

Pros:

Convene supports internal and external stakeholders, everything is in one place. So it becomes the go to for documents and communication. You can make edits on documents to prompt discussion and offer clarification, or have answers ready for those who have posed them.

Cons:

There isn't anything that I do not like about Convene

it's so easy to set and order agendas and manipulate meeting papers

Comments: It helped us to go paperless for Board meetings and saved a lot of admin time printing, collating and posting Board packs ahead of meetings.

Pros:

Easy to set up meetings, upload documents, add attendees etcMuch reduced paperwork and associated administration

Cons:

We tend to use a paper agenda still as the electronic papers move in a linear fashion and you don't know what's coming up next until you move on to it.I would like to see a feature that countdowns the time allocated for each agenda item that you can see while moving through the papers in a particular section.

Great software for a team

Comments: overall its a better app at this pricing point.

Pros:

I really like this because it's easy to use and manage, and you can easily get reminders for all of your upcoming events. Convene is a great tool for organizing meetings, appointments, and teamwork both inside and outside of the team.

Cons:

This software doesn't perform as well as some of the competing similar packages. But it provides the services we require (and sometimes even more). Overall, it's almost one of the best collaborative tools, with as such no drawbacks.

Convene software review

Comments: The overall experience in using Convene is good in our company.

Pros:

Our company has used Convene software for a couple of years for convening internal and external meetings and Board meetings. We particularly like the features of screen synchronisation among all meeting participants and the marking private or public comments and highlighting important information on the documents.

Cons:

The latest version for supporting video conference feature is not market competitive that only 8 users can display their camera images and others can only use the voice function. Looking forward to receiving a more advance feature for video conferencing.

Moving to Convene from paper based meetings has been a huge success!

Comments: time - thereby saving money!

Pros:

Very easy to use Convene is more than just a meeting portal - it's a great resource for sharing publications/documents and electronically reviewing and approving documents without the need to have separate meetings for these. Functions available in this app are great - including combining all meeting papers into one pack. Support is second to none - 24/7 and very accommodating. Overall, Convene has been extremely cost-effective and offers far more functionality in comparison to others we have trialled and has been great asset to us in Governance!

Cons:

Nothing major at all that is negative about this software. A couple of small areas that could be introduced over time, and we understand that as the software is evolving, Convene can be further refined.

Cons:

I did not use the typing of comments, minutes at the time of the meeting, since I found it quite difficult to present the meeting and keep minutes on the pc on the same time. I preferred to take notes on my paper instead.

Convenient and professional meeting assistant

Comments: Time-saving and convenient to use for the Board members as well as for a meeting secretary

Pros:

Such features as the possibility to make notes in the document and share comments with other attendees make it very easy for the Board members to share their opinions beforehand. From the administrator’s perspective, the app makes it easier to update the meeting materials as the app notifies the users regarding the update automatically. We are also very impressed by the customer support provided by Azeus Convine.

Cons:

The only inconvenience we encountered while using the app is with excel files. The App automatically transforms the files into pdf file for an easier use, however if the excel file is very big and contains large amount of data on each sheet, it is a bit difficult to transform excel file into a pdf file.

Pros:

straight forward to use. no complicated features.

As we need to export the final board pack the additional head pages are not really needed.

Pros:

To me the features where you can just drag your documents from your desktop to be uploaded is definitely the best as it helps me to save time and makes my life easier.

Cons:

I think maybe convene should enable someone who had just been added to the software/apps to access all the past papers or documents that has been uploaded previously.

Comments: Being President at SELC Pro LLC, as part of my consulting, I was sometimes asked to give recommendations to nonprofits and medium-level companies on what board portal provider would be the best for their internal and strategic operations. I had tried many paperless meeting software providers, from the market leaders like Diligent and BoardVantage MeetX, the small players like BoardPaq, and to the midlevel players like BoardPad, BoardEffect, and Azeus Convene... Don't go for BoardPaq and BoardPad! They have lousy features and lousier support. BoardEffect is so-so. Diligent and BoardVantage is good, as long as you have money to burn. The only clear and concrete advantage that Diligent has over Convene is that they have unlimited individual user training. But Convene is so intuitive and easy-to-use that you don't need to go beyond their free first 4 user/administrator training sessions. Convene is a hidden gem. It has as rich features and aesthetics as BoardVantage and Diligent, while costing at least 40% less! It's a clear winner for those who are practical. You have no idea how much it means for nonprofits, charities, and value-conscious companies and organizations to have a solution as good, yet as reachable, as Convene.

There was no video feature built-in in the initial stage which caused a bit disruption during the Covid 19 period

Comments: I just hope it will be more affordable so that the company can save.

Pros:

Convene is easy to navigate. I learned about it when I once substituted the Corporate Secretary in the Board Meeting. The software make remote meetings possible. The staff are also very accommodating.

Cons:

I just hope that the voting features be more easier to learn for first time users.

User friendly software

Comments: Invaluable!

Pros:

The software is very user friendly, both as an administrator and as a first time user and available on any device. I particularly like the built in video conference facility, which has been invaluable for our virtual meetings during the social restrictions. The support team are also great!

Cons:

It meets our needs, so I don't believe I can add anything here.

Easy and intuitive to use, does everything we need

Comments: Security for our board information, control over users, a single place for all of the information and and easy to use system which is cost effective.

Pros:

The software has clearly set out sections, is easy and intuitive to use, has very informative user guides and excellent customer support.

Cons:

This software doesn't do as much as as some of the other similar products out there. But it does enough (and in some cases more) that we need.
